Care tech specialist PCS optimises cloud costs – and gets a 5x payback

Overview

Founded in 2013, PCS is on a global mission to improve social care through digital transformation. Its innovative technology equips carers, nurses and managers with tools to provide the best quality of care, while saving hours of admin time.

Headquartered in the UK, the company also has locations in Ireland and Australia – and is has been expanding at speed. PCS was listed in The Sunday Times 100 list of Britain's fastest-growing private companies.

Today, over 6,000 providers use the company’s Connected Care Platform to improve the delivery of care. PCS has joined the NHS assured solutions list and has also launched its GP Connect service to give care homes access to GP records for direct care purposes.

Challenge

PCS experienced significant growth after acquiring three companies in quick succession. Swift expansion was great news for the business – but leaders faced the daunting task of how to manage a surge in cloud costs.

The complexity of the Azure pricing model, combined with inherited AWS environments, posed a considerable challenge. PCS needed to integrate diverse environments in line with their standards, while navigating the intricate cost management of Azure Cloud and maintaining budget. PCS’s busy team needed help quickly.

The Bytes Solution

PCS began using the Bytes FinOps Optimisation Service, which supports companies by reducing their cloud spend through rate and usage optimisation.

In this instance, Bytes’ consultants deployed the Quantum Azure tool to access billing and usage data within PCS’s Azure estate. Using this data, consultants began to manage the purchase and usage of Reserved Instances, Savings Plans and Hybrid Use, among various opportunities to get best value.

As the service matures, Bytes and PCS are developing a unit economics model against PCS’s cloud spend that will create a common language metric that can be used across the business.

Bytes also offered expertise for additional projects, advice on cloud deployments, and support around Microsoft Security – crucial for compliance in healthcare.

Benefits

The partnership with Bytes has delivered the following benefits:

  • Freeing up resources: Very quickly, PCS saved £181,000 in cloud costs. Over time, the Bytes FinOps Optimisation Service is projected to go further – and deliver a five-fold return on investment. Money saved has been re-allocated by PCS to other important projects, supporting the rapid growth of the business. Bytes has also saved time for the PCS team in helping them to understand their cloud usage clearly, allowing them to work on more projects and use their internal resources more effectively.

  • Deepening partnership: Long-term, the close partnership with Bytes has extended the PCS team's capabilities. With Bytes, they can get on-demand access to expertise that has accelerated project launches and supported their growth. Bytes has worked with PCS to develop new capabilities such as chargeback/showback and optimisation through coverage as part of the FinOps strategy.

PCS views Bytes as its go-to-partner for Microsoft and cloud professional services. This enables PCS to advance and scale its solutions quickly in the fast-moving global care sector.
